Conaxity Inc., is the responsible entity for the PII we collect, use, process or control. We maintain internal policies to protect personal information and have appointed a Privacy Officer to oversee privacy matters. We operate solely as a Business-to-Business (B2B) service provider. Any PII we process in order to provide products and services, relates to individuals acting in a professional capacity on behalf of their employer or organization.
Our processing is limited to the purposes for which the data was originally collected. We do not process personal data for secondary purposes unless we are legally required to do so or we obtain explicit consent.

We use machine-learning models designed to support core platform functions such as equipment-usage visibility, digital-key access validation, and operational forecasting across shared jobsites. These models process telematics signals and access-control activity generated through the platform to identify usage patterns and enhance efficiency-related insights.
Our models are trained on de-identified or minimized operational data collected through the platform, including equipment telemetry and access-event logs necessary to deliver the service. Training occurs within secure environments or through service providers bound by contractual limitations, in accordance with transparency and purpose-limitation principles.
Only the data required to support equipment-sharing functionality, such as device telemetry, access-log entries, and account identifiers needed for authentication, is used in model training. We do not use sensitive categories of personal information for training unless legally permitted and operationally necessary, and we apply data-minimization techniques consistent with privacy obligations.
These models are used solely to improve the accuracy and reliability of platform features such as equipment availability forecasts, idle-time detection, and access-control safeguards. Their outputs may influence non-deterministic recommendations, like optimized equipment allocation or alerts requiring human confirmation, without producing decisions that have legal or similarly significant effects on users without human oversight.
We may request your express consent for certain purposes (e.g., marketing subscriptions), and some products or services may not be available without it. Where required by law, we will obtain express consent through active mechanisms.
In other cases, we rely on implied consent, such as when you provide PII in a context where its use is reasonably expected—for example, giving your name when creating an account.
You may withdraw your consent at any time, unless the data is required to meet legal obligations or for contractual necessity. We will respect your choice, but this may limit our ability to provide certain services. To withdraw consent, please contact our Privacy Officer.

We like to send you information about our products and services that we think might interest you. We may send you this information if we have a business relationship with you, you have offered your contact information to us (i.e. business card), your contact information is publicly available, or as permitted under applicable anti-spam legislation. Otherwise, we will always obtain your consent to receive sales and marketing information before sending you any communications.
You can always opt-out of our sales and marketing communications. If you wish to opt-out of receiving sales and marketing communications, please contact our Privacy Officer or select the unsubscribe link in an email you receive. We will provide you with our response to that request in a timely fashion, and can make appropriate modifications to our information, up to and including deletion.

Your personal information will be accessed by our employees who have a legitimate business purpose for using it. Unauthorized use and disclosure by our employees are strictly prohibited. All employees are required to maintain the confidentiality of personal information and client information they process at all times.
We may occasionally share your personal information with third-party service providers ("Third-Party Service Providers") who assist us in delivering our products and services. For example, we may use platforms such as HubSpot to process order forms, track Site activity, and manage customer relationships.
These Third-Party Service Providers may support functions such as: payment processing, account setup, communications delivery, data storage, compliance and risk assessment (including services provided by legal, accounting, and auditing professionals), data analysis, marketing and sales support (including advertising and event management), customer relationship management, and training.
Each Third-Party Service Provider is granted access only to the minimum amount of personal data necessary to perform its assigned tasks, and they are contractually prohibited from using the data for any other purpose. We also ensure that any international data transfers carried out by such providers are conducted in compliance with applicable law. If we are involved in a merger, reorganization, dissolution or other fundamental corporate change, or sell our Site or business unit, or if all or a portion of our business, assets or stock are acquired by a third party. In individual instances, we may share your PII with professional advisers acting as service providers, processors, or joint controllers—including lawyers, bankers, auditors, and insurers who provide consultancy, banking, legal, insurance and accounting services.

Your PII is stored and retained in Google Cloud locations in the United States and the European Union. Any data that you provide to us may be also be accessed, shared or processed by our employees, located in Canada, United States, Austria, Norway, and service providers located in Canada, United States and European Union, if such data transfer is necessary for the specific purpose for which you submitted your data (such as the provision of goods or services under a written contract). Whenever we engage a service provider, we require that its privacy and security standards adhere to this policy and applicable Canadian and European Union privacy legislation.
This may entail a transfer of your personal information across international borders. The data protections standards may differ and be lower than the standards enforced in your jurisdiction. In these circumstances, the governments, courts, law enforcement, or regulatory agencies of that country may be able to obtain access to your personal information through the laws of the foreign country.
Except as otherwise permitted or required by applicable law or regulation, we will only retain your PII for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. Under some circumstances we may anonymize your personal information so that it can no longer be associated with you. We reserve the right to use such anonymous and de-identified data for any legitimate business purpose without further notice to you or your consent.

The safety and security of your information also depend on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Site, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.
